What type of personal information do we collect
We currently collect and process the following information:
- Personal identifiers, contacts and characteristics (for example, name and contact details)
- Previous education in the subject matter including grades, grades you have obtained whilst learning with M&M Academy
- Photographs & videos if you consented to their use in the ‘Publicity Consent Form’.
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- Communication purposes – newsletters, arranging lessons and reminders.
- Processing your booking
- Compulsory for Services such as Tutorbird (Learning Platform), Taekwondo License Renewal, Taekwondo Grading and Rockschool (Grades).
- Assist in identifying any support we may need to provide.
We also receive personal information indirectly, from the following sources in the following scenarios:
- Tutorbird – if you add extra details to the learning platform.
- Facebook – if you contact us via this platform.
We use the information that you have given us in order to communicate information about lessons (reminders, newsletters etc.) and to arrange exams if you choose an accredited curriculum (Rockschool). For Taekwondo Students you need a Taekwondo Licence to participate which requires your personal details. Taekwondo Grading also requires personal details but these will be in your licence.
We may share this information with the Taekwondo Association of Great Britain (Taekwondo Students), Rockschool Ltd. (Music Students working towards gaining Rockschool Grades) and Tutorbird (Client Management System).
Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:
(a) Your consent. You are able to remove your consent at any time. You can do this by contacting admin@mandm.academy
(b) We have a contractual obligation.
How we store your personal information
Your information is securely stored on tutorbird’s database and on M&M’s Personal Computer..
We will keep your personal information for 24 months after you finish lessons with M&M Academy, although you can request for the information to be removed at any time. We will then dispose of your information by burning any paper based information and deleting digital data.
Your data protection rights
Under data protection law, you have rights including:
Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the right to object to the processing of your personal information in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
